Tips for Better Video Meetings on Zoom

Zoom calls have become a need of the hour since pandemic broke down. All corporations have to adopt “work from home” culture, and Zoom has become a great tool to manage the workflow and communicate better. There are a lot of tools available for video meetings, but Zoom is the most preferred tool among all. You can use Zoom on Windows, Mac, Android, and iPhones.

In this article, we will mention a few tips to make your video meeting experience better with Zoom:

Change your Virtual Background

The virtual background is one of the most excellent features offered by Zoom. You can create your personalized background and use it for your Zoom calls. To change your virtual background, go to “Settings” and then tap “Virtual Background.” Zoom offers some readymade backgrounds, but you can also add your personalized background by uploading your design from your device.

Disable the Waiting Room

The Waiting Room feature allows the host to control the joining of the participants in the meeting. This feature allows the participants to re-join the meeting without any hassle. The Waiting Room feature has been recently added by Zoom to strengthen the security. But, some users find it inconvenient to wait until the host allows them to join the meeting and it adds up the work for the host as well. You can disable the Waiting Room feature by going into “Settings” and then tap on the Waiting Room in the Meeting section. After tapping on the Waiting Room, you can turn off this feature.

Space bar for mute/unmute

There are two ways you can mute and unmute your videos. One is by clicking the microphone icon on your screen and second is by tapping the spacebar on your keyboard. The space bar feature is more convenient as compared to the microphone, because of easy accessibility and quick response.

Auto-Mute for New Calls

Before entering into a new meeting or joining the on-going meeting, it’s always essential to mute your audio. Background music can disturb the participants and the flow of the meeting. Zoom allows you to put your audio on mute whenever you join a new call. It makes sure your background noise doesn’t disturb the meeting. To enable this feature, you need to open “Settings” and tick the “Mute Microphone” checkbox.

Digital Whiteboard

Zoom allows you to share your screen with other participants. However, you can share different types of screens on Zoom, including a digital whiteboard which can be an excellent tool for official meetings.

Beauty Filter

Zoom also offers a beauty feature that can smooth out the imperfections on your skin. The feature is also known as “Touch up my appearance”, and it softens out the focus from the camera to give your skin a smoother look. To enable this setting, you need to go to the “Settings” option, then tap the video option and tick the “Touch up my appearance” box.

Use Emoji to React

The emoji feature allows you to communicate in-between the call without interrupting the participants. You can use clap and thumbs up emoji to show your participation in the conversation. You can click on the “Reactions” tab at the bottom of the screen and select the suitable emoji. Your emoji reaction will automatically disappear after 5 seconds. If the host has enabled the non-verbal feedback option, then you can use icons next to your name to communicate, and each participant can see your feedback.

Keyboard Shortcuts

Some people find it annoying to click on their screen to access specific features continuously. Zoom offers some handy keyboard shortcuts that can help you to navigate through the application without using a mouse. You can give a command to join a meeting, can start or stop the recording, share your screen, and can enter the full screen with keyboard shortcuts.

Gallery View

The gallery view allows you to see each participant of the call on the screen other than the speaker. To enable this feature, you can click on the “Gallery view” option in the top right corner of your screen. You can see up to 49 participants on your screen if you have more than 49 participants, then you can switch between multiple pages.

Record your Meetings

Zoom allows you to record your meetings on your laptop. You can record on the mobile application if you have their paid subscription. The recorded files will be saved to your cloud storage or on video streaming platforms like YouTube or Vimeo. To enable the recording feature, go to “Settings” and keep the toggle on for “Recording.”

Hide Non-Video Participants

There can be multiple participants on Zoom calls, with video or without video. You can easily segment them out by hiding the non-video participants. You can enable this feature by going into “Settings”, then tap on Video and then Meetings, and click on “Hide non-video participants.”

Host a Meeting with More 100 Participants

Zoom allows you to host more than 100 people with their professional subscription, but if you wish to host more than 1000 participants, then you have to buy their highest-tier plan.

Host a Meeting for More than 40 Minutes

Zoom’s basic tier option allows you to host a meeting for 40 minutes for free. If you want to host more than 40 minute’s video calls, then you can buy their paid version.

Conclusion

Online meetings have become the new normal in 2020, and Zoom application has risen to the top in this pandemic situation. Zoom has a very easy to use interface and comes with tons of features. If you are a regular Zoom user, then these tips will surely enhance your video meeting’s experience.
